Які документи ФОП потрібно передавати бухгалтеру щомісяця

Зручний список для ФОП, який допоможе вчасно закрити місяць, правильно визначити дохід і не шукати документи перед поданням звітності.

Головне правило

Передавайте документи регулярно, бажано до 3–5 числа наступного місяця. Не чекайте кінця кварталу: тоді бухгалтер зможе завчасно перевірити дохід, податки, призначення платежів і можливі помилки.

1. Банківські документи

  • Виписки з усіх підприємницьких рахунків за повний місяць у форматі PDF або Excel.
  • Платіжні інструкції або квитанції за операціями, зміст яких не зрозумілий із виписки.
  • Документи щодо повернення коштів клієнтам, переказів між власними рахунками та внесення власних коштів.
  • Виписки й документи за валютними рахунками, якщо були валютні надходження або продаж валюти.

2. Документи про отриманий дохід

  • Договори з новими клієнтами та додаткові угоди.
  • Рахунки, акти наданих послуг, накладні або інші документи, що підтверджують операцію.
  • Інформацію про оплати через платіжні сервіси, маркетплейси, еквайринг або післяплату.
  • Пояснення щодо кожного надходження, яке не є оплатою від клієнта.

3. Документи про придбання та походження товару

  • Рахунки, накладні, акти, чеки та квитанції постачальників.
  • Документи, що підтверджують походження товарів, якщо ФОП займається торгівлею.
  • Акти повернення, коригування та документи на списання або переміщення товару.

Чому передавати витратні документи, якщо податок — 5% доходу?

У ФОП третьої групи без ПДВ витрати не зменшують суму єдиного податку. Проте документи потрібні для підтвердження змісту операцій, походження товарів, правильності розрахунків і підготовки до можливого запиту або перевірки.

4. РРО/ПРРО та готівкові операції — якщо застосовуються

  • Z-звіти, дані про проведені чеки та повернення.
  • Пояснення щодо розбіжностей між оплатами, чеками та банківськими надходженнями.
  • Інформацію про несправність ПРРО або помилково проведені операції.

5. Працівники та виплати фізичним особам — якщо є

  • Документи про прийняття, звільнення, відпустки, лікарняні та зміни умов роботи.
  • Табелі, дані для нарахування зарплати, премій та інших виплат.
  • Акти й договори з фізичними особами або ФОП, яким здійснювалися виплати.

6. Повідомлення та зміни

  • Квитанції про сплату податків і повідомлення з Електронного кабінету ДПС.
  • Відомості про новий рахунок, зміну адреси, видів діяльності, групи чи ставки оподаткування.
  • Листи, вимоги та запити від ДПС, банку або інших державних органів — одразу після отримання.

Коротко: щомісячний пакет

Банківські виписки + документи за доходами + документи за придбаннями + РРО/ПРРО + працівники + усі повідомлення про зміни.

Оригінали зберігайте у себе, а бухгалтеру передавайте читабельні сканкопії або електронні документи. Структура пакета може відрізнятися залежно від діяльності, системи оподаткування та наявності працівників.

Documents a sole proprietor should send to their accountant every month

A practical list to help close the month on time, calculate income correctly and avoid searching for documents before reporting deadlines.

Main rule

Send the documents regularly, preferably by the 3rd–5th day of the following month. Do not wait until the end of the quarter: your accountant can check income, taxes, payment details and possible errors in advance.

1. Banking documents

  • Statements for all business accounts covering the full month in PDF or Excel format.
  • Payment instructions or receipts for transactions that cannot be clearly identified from the statement.
  • Documents for customer refunds, transfers between own accounts and deposits of personal funds.
  • Foreign-currency statements and supporting documents if foreign currency was received or sold.

2. Documents confirming income

  • Contracts with new customers and amendments.
  • Invoices, service acceptance acts, delivery notes or other documents confirming the transaction.
  • Information on payments through payment services, marketplaces, acquiring services or cash on delivery.
  • An explanation for each receipt that is not a customer payment.

3. Purchase and product-origin documents

  • Supplier invoices, delivery notes, acceptance acts, fiscal receipts and payment receipts.
  • Documents confirming the origin of goods if the business sells products.
  • Return, adjustment, write-off or stock-transfer documents.

Why provide expense documents when the tax is 5% of income?

For a Group 3 sole proprietor without VAT, expenses do not reduce the simplified tax. However, the documents support the substance of transactions, origin of goods, correct settlements and preparation for a possible tax request or audit.

4. Cash register and cash transactions — if applicable

  • Daily Z-reports, fiscal receipt data and refund information.
  • Explanations for discrepancies between payments, fiscal receipts and bank credits.
  • Information about cash-register failures or incorrectly recorded transactions.

5. Employees and payments to individuals — if applicable

  • Documents on hiring, dismissal, leave, sick leave and changes in employment terms.
  • Timesheets and data needed to calculate salaries, bonuses and other payments.
  • Contracts and acceptance acts for individuals or sole proprietors who received payments.

6. Notices and changes

  • Tax payment receipts and notices from the Electronic Taxpayer Cabinet.
  • Information about a new account or changes in address, activities, tax group or tax rate.
  • Letters, demands or requests from the Tax Service, a bank or another public authority — immediately after receipt.

Keep the originals and send your accountant legible scans or electronic documents. The exact package may vary depending on the business activity, tax regime and whether the sole proprietor has employees.
